Position Overview: Receptionist (Front Office Administrator)
The Receptionist at Rosebank College plays a fundamental role as the first point of contact for students, parents, staff, visitors, and external stakeholders. This position requires a professional, friendly, and confident individual who can manage front office operations efficiently, handle switchboard functions, support administrative processes, and ensure that guests receive exceptional service.
The successful candidate will also supervise housekeeping on the ground floor, coordinate meeting room bookings, assist with sales‑related administrative support, and facilitate smooth day‑to‑day campus operations.
Minimum Qualifications Required
Essential Qualifications
- NQF Level 5 – Higher Certificate in Office Administration
Advantageous
- NQF Level 6 – Diploma in Office Administration
Experience Requirements
Minimum (Required)
- 2 – 3 years Receptionist experience
Advantageous
- 1 year working with the public or external stakeholders
- 1 year switchboard or call‑centre experience
Key Responsibilities & Performance Expectations
1. Reception & Front‑Office Management
- Welcome, greet, and direct students, parents, suppliers, and visitors in a professional and friendly manner.
- Provide accurate and relevant information about programmes, departments, services, and campus procedures.
- Receive, log, and distribute all deliveries and courier packages promptly.
- Track courier bookings and ensure timely dispatch and delivery.
- Receive payments using the campus speed‑point system.

- Visitors are assisted promptly
- Packages and deliveries reach correct departments
- Couriers are managed and tracked accurately
2. Switchboard & Call Management
- Answer and manage incoming calls efficiently.
- Direct calls to the correct department or staff member.
- Take detailed messages and ensure timely follow‑ups.
- Manage high‑volume call periods and ensure smooth call flow.
- Provide callers with accurate information or redirect where necessary.

- Calls answered professionally and timeously

3. Sales & Administrative Support
- Book boardrooms for meetings, interviews, academic activities, or sales presentations.
- Arrange visitor refreshments and ensure hospitality standards are met.
- Review RSVPs for sales‑related activities and compile reports for the Sales Manager.
- Support campus administration including database maintenance, capturing data, filing, and scheduling.
- Assist with event support and campus functions.

- Boardrooms correctly booked and schedules maintained

- RSVPs and admin tasks completed accurately
4. Housekeeping & Facilities Coordination
- Inspect the campus ground floor daily to ensure professional presentation.
- Supervise cleaners and ensure cleaning schedules are adhered to.
- Inspect bathrooms and kitchen to ensure cleanliness and availability of supplies.
- Monitor refreshment stock levels and place orders when required.
- Receive and verify delivery of stock.
