Job Purpose

The primary purpose of the Administrator: Warranty role is to provide comprehensive administrative support to the Hyundai Importer operations by ensuring accurate processing of warranty claims, effective documentation management, high audit compliance, and strong collaboration with dealers and internal teams.

You will be responsible for managing warranty transactions, validating claim information, supporting financial controls, maintaining warranty documentation, and enhancing the overall efficiency of the warranty function.

This role directly contributes to Hyundai’s commitment to customer satisfaction, quality service, and adherence to Original Equipment Manufacturer (OEM) standards.


Key Responsibilities

1. Warranty Processing & Compliance

As a Warranty Administrator, you will manage end‑to‑end warranty processing functions, ensuring every claim captured is accurate, compliant, and aligned with OEM and Hyundai standards.

Your responsibilities include:

  • Capturing and processing warranty claims in OEM systems
  • Ensuring all warranty claims meet OEM compliance requirements
  • Validating, vetting, and verifying source documents before final approvals
  • Managing warranty grids, warranty WIP, and age analysis data
  • Monitoring first‑approval rates and addressing rejected claims promptly
  • Ensuring proper destruction of warranty parts according to OEM policy
  • Maintaining, organizing, and controlling the warranty storeroom
  • Identifying issues in operations and escalating unresolved problems
  • Supporting both internal and external warranty audits
  • Ensuring audit readiness at all times
  • Providing technical and administrative assistance to dealers/importers

This function requires strong accuracy, analytical thinking, and a deep understanding of warranty processes.


2. Financial Control & Accuracy

Warranty processing is directly linked to financial compliance. Your role ensures that financial entries related to warranty claims are accurate, documented, and compliant.

Key duties include:

  • Ensuring proper financial documentation for audit readiness
  • Monitoring warranty transactions to completion
  • Identifying inefficiencies or costing concerns and escalating them
  • Supporting corrective measures to prevent financial non‑payment
  • Ensuring warranty processing meets turnaround time standards
  • Improving workflow, quality, and accuracy of financial outputs

Your contribution will support clean audits, reduced financial discrepancies, and improved claim turnaround times.


3. Client & Stakeholder Engagement

Effective communication with dealers, OEMs, and internal departments is essential for smooth operations.

You will:

  • Deliver exceptional customer‑focused service

  • Engage with dealers on claim requirements and resolutions
  • Provide updates on claim delays, disruptions, or issues

Minimum Experience

  • 2 – 3 years of experience in a similar administrative or warranty environment

Minimum Qualification

  • Higher Certificate / Advanced Vocational Certificate (technical qualification preferred)
  • Strong computer literacy required (MS Office, email, internet)
  • Intermediate Excel skills recommended
