Purpose of the Role

The Administrative Assistant will provide comprehensive administrative and operational support to various departments within FlySafair. This role demands someone who can quickly learn different departmental processes, manage several tasks simultaneously, and transition between teams with confidence and professionalism.

Key Responsibilities

As an Administrative Assistant at FlySafair, your responsibilities will include:


1. Multi‑Department Administrative Support

You will be required to:

  • Provide general administrative support across different departments depending on operational needs.
  • Adapt quickly to new team environments, workflows, requirements, and systems.
  • Assist with data entry, capturing records, updating databases, and maintaining administrative logs.
  • Manage correspondence including emails, memos, requests, and follow‑ups.
  • Support scheduling activities such as booking meetings, coordinating appointments, and arranging logistics.

2. Workflow Management & Efficiency

  • Ensure smooth daily operations by identifying inefficiencies and proactively resolving administrative challenges.
  • Assist departments in creating streamlined processes and improving workflow efficiency.
  • Prioritise tasks based on urgency and importance to ensure timely delivery of work.
  • Maintain consistency when shifting between teams by applying best practices learned across departments.

3. Record Keeping & File Management

  • Maintain accurate and up‑to‑date filing systems including digital and physical files.
  • Ensure documents are stored securely and can be retrieved quickly when required.
  • Maintain confidentiality of all sensitive documents and follow internal security and data protection guidelines.

4. Communication & Coordination

  • Communicate effectively with team members, managers, and stakeholders.
  • Assist in drafting professional correspondence, internal communications, and basic reports.
  • Work collaboratively with cross‑functional teams to support organisational goals.
  • Provide support during meetings, including preparation of documentation and minute‑taking where needed.

5. Process Improvement & Best Practice Sharing

  • Identify areas of improvement within administrative processes and propose solutions.
  • Assist in implementing consistent administrative procedures across departments.
  • Share successful administrative practices to improve organisational efficiency.

6. Team Support & Collaboration

  • Support team members in achieving shared objectives.
  • Provide additional administrative assistance during peak workload periods.
  • Maintain a positive, service‑driven attitude while working with diverse departments.

Minimum Job Requirements

To qualify for the Administrative Assistant role, applicants must meet the following:

Education

  • Grade 12 / Matric or equivalent qualification (Essential)

Experience

  • Minimum 1 year experience in an administrative or similar support role (Essential)
  • Experience within an aviation or corporate environment is advantageous

Technical Skills

  • Knowledge of administrative systems and office tools
  • Ability to learn new software and systems quickly
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Familiarity with scheduling tools and file‑management systems
