**Job Overview**
VWSA is seeking a skilled Union Administrator to join the Human Resources Division at our Kariega facility. The role focuses on providing efficient administrative and secretarial support to the National Union of Metalworkers of South Africa (NUMSA) at VWSA, ensuring seamless union operations and effective coordination of union-related activities.
**Key Responsibilities**
– Perform general office administration tasks, including typing, filing, and document management.
– Ensure the efficient operation of the NUMSA union office at VWSA.
– Monitor and maintain accurate records of union membership levels.
– Manage budgets for stationery and telephone usage.
– Liaise with plant, local, regional, and national union offices for guidance and coordination.
– Oversee the usage of union vehicles at VWSA.
– Maintain an organized filing system for easy document retrieval.
– Coordinate union affairs in the absence of shop stewards.
– Facilitate NUMSA tasks at plant, local, regional, and SAFTU levels.
– Distribute membership forms and documents to NUMSA members and employees.
– Attend workshops and meetings as required.
– Manage diaries for full-time shop stewards and provide reminders for subcommittee meetings.
– Ensure compliance with health and safety regulations in the union office.
**Qualifications & Experience**
– **Education**: Matric Certificate (required).
– **Experience**: Minimum of 3 years in office administration or secretarial roles.
– **Advantageous**: Diploma in Office Administration or Secretarial Certificate.
**Essential Skills & Competencies**
– Valid driver’s license.
– Strong office administration and secretarial skills for efficient task management.
– Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
– Excellent interpersonal and communication skills for liaising with union stakeholders.
– High level of accountability and organizational skills to manage records and budgets.
– Ability to work under pressure and maintain confidentiality of sensitive information.
– Knowledge of NUMSA, COSATU structures, and related policies.
– Experience in the Trade Union Movement is preferred.
