Position: Admin Assistant
As an Admin Assistant at iStore, you will play a critical role in supporting the Admin/Operations Manager. Your focus will be on stock control, asset management, compliance, and risk minimisation.
This position requires a meticulous, organised, and reliable individual who can thrive in a fast-paced retail environment. You will be responsible for ensuring that iStore policies, processes, and SOPs (Standard Operating Procedures) are consistently followed, providing a backbone of administrative efficiency to the store’s operations.
Key Responsibilities
In this role, you will:
Stock Control & Asset Management
- Support the Admin/Operations Manager with daily stock control functions.
- Maintain accurate stock records, track discrepancies, and resolve stock variances.
- Assist with stock takes, audits, and reporting to ensure full compliance with company requirements.
- Oversee asset management, including allocation, usage, and safeguarding of store resources.
- Ensure proper systems are followed for receiving, dispatching, and storing stock.
Compliance & Risk Management
- Support the implementation and monitoring of iStore policies and standard operating procedures.
- Ensure adherence to security and loss prevention measures.
- Report and escalate potential risks, fraud, or compliance breaches to management.
- Assist with operational checks and ensure adherence to all governance frameworks.
Administrative & Operational Support
- Maintain accurate filing systems, reports, and store records.
- Process invoices, payments, and other admin-related documentation.
- Assist with reconciliations and reporting to head office where required.
- Provide daily admin support to store management teams to ensure smooth operations.
- Contribute to the efficient flow of communication between operations, sales, and customer support functions.
Team Support & Collaboration
- Work closely with the Admin/Operations Manager to ensure effective execution of all store processes.
- Support colleagues by ensuring the timely completion of admin-related tasks.
- Provide operational assistance during peak trading hours and special promotions.
- Build strong working relationships with staff across different departments to enable seamless teamwork.
Minimum Requirements
To qualify for this role, candidates should have:
- A Completed Matric (Grade 12).
- 1+ years’ admin experience in a retail environment or a degree.
- OR 2+ years’ admin experience in a different industry.
- A Tertiary Qualification (Business Administration, Retail Management, or related field) would be advantageous.
- Basic to intermediate proficiency in MS Office (Excel, Word, Outlook).
- Familiarity with retail stock systems or ERP platforms will be an added advantage.
