🔑 Key Purpose

To manage the reception area and operate the switchboard professionally, while providing efficient administrative support to internal stakeholders and ensuring a positive first point of contact for visitors and callers.


đź§ľ Key Duties & Responsibilities

Switchboard & Front Desk Operations

  • Professionally operate the switchboard system, ensuring all calls are answered, screened, and redirected appropriately.
  • Prevent unauthorized sharing of confidential contact details (e.g., director mobile numbers).
  • Greet and assist all visitors in a professional and courteous manner, ensuring compliance with security protocols.
  • Handle both internal and external calls, including long-distance and international calls when requested by management.
  • Maintain minimal switchboard downtime and manage high call volumes efficiently.

Administrative Support

  • Take accurate messages and distribute them promptly to relevant individuals.
  • Provide administrative assistance with telephone-related issues and new line installations.
  • Manage the distribution of internal and external post and ensure timely delivery.
  • Support internal customers in addressing telephone and connectivity concerns.

Meeting & Office Facility Management

  • Oversee the booking, setup, and maintenance of meeting rooms and boardrooms.
  • Ensure all rooms are equipped with required supplies (e.g., flipcharts, markers, batteries).
  • Maintain reception and boardroom cleanliness and presentation to a high standard.
  • Monitor and restock refreshments and supplies in the reception and boardroom areas.
  • Raise Purchase Orders (POs) when needed for site-related supplies.

  • Reliable, punctual, and professionally presented at all times
  • Strong problem-solving abilities, especially in addressing customer complaints
  • Willingness to learn about CCBSA operations and key locations
  • Understanding of VIP protocol and visitor management

🎓 Qualifications & Experience

  • Grade 12 (Matric)
  • Receptionist or equivalent formal qualification
  • Minimum of 3 years’ experience in a receptionist or front desk role
  • Proficient in MS Word, Excel, and Outlook
  • Experience with SAP is an added advantage
