Purpose of the Role
The primary purpose of this role is to deliver comprehensive administrative support to a designated team, ensuring operational efficiency and effectiveness across day-to-day business activities. The successful candidate will play a critical role in streamlining office processes, supporting staff, and maintaining a professional and well-organized work environment.

Key Responsibilities

  • Office and Administrative Support
    Provide general administrative and clerical support to the allocated team, including answering calls, responding to emails, and handling inquiries from both internal and external stakeholders. Manage calendars, book appointments, and ensure schedules are kept up to date.
  • Meeting and Event Coordination
    Schedule, organize, and attend meetings as required. Prepare meeting agendas, take detailed minutes, and distribute notes to relevant parties. Assist in planning and executing both internal and external meetings, conferences, and other corporate events, including venue booking and logistics.
  • Travel and Accommodation Management
    Coordinate travel arrangements for staff, including booking flights, transportation, and accommodation. Liaise with colleagues and third-party service providers to ensure smooth travel logistics.
  • Document and Records Management
    Draft, type, and format correspondence, reports, and presentations. Maintain both physical and electronic filing systems. Organize, store, and retrieve documentation, ensuring information is accessible and secure. Assist in capturing and standardizing data for reports and administrative records.
  • Office Resource Management
    Monitor inventory levels of office supplies and stationery, placing orders as necessary. Ensure office equipment is functioning efficiently and coordinate repairs or replacements when needed. Control and track stock usage within the department.
  • Communication and Front Desk Duties
    Act as a first point of contact for visitors, staff, and clients, offering assistance and directing inquiries to the appropriate individuals. Answer and manage incoming telephone calls, relay messages, and provide accurate information where applicable. Maintain a professional and welcoming front-desk environment.
  • Data Handling and Reporting
    Assist with data collection, entry, reconciliation, and analysis for various reports and management summaries. Utilize internal and external data sources to compile and manipulate data as required. Ensure accuracy and confidentiality in handling sensitive information.
  • Compliance and Procedure Implementation
    Support the implementation and ongoing refinement of office procedures in line with company policies. Complete forms and documentation accurately and in compliance with internal standards. Monitor departmental expenditure and maintain related records for reporting purposes.
  • Multitasking and Prioritization
    Handle multiple administrative duties simultaneously while maintaining attention to detail and meeting deadlines. Prioritize tasks effectively to support the overall efficiency and productivity of the team.

Qualifications and Experience

  • Education: A minimum of a High School Diploma or equivalent qualification.
  • Experience: 0+ years of relevant administrative or office support experience.
