Purpose of the Role

The Imports Clerk will play a critical role in managing and coordinating import documentation, supplier verification, and compliance with customs and statutory requirements. The successful candidate will ensure the smooth processing of shipments, invoices, and claims while supporting Finance and Operations teams to maintain seamless supply chain operations.


Minimum Requirements

To be considered, applicants must meet the following requirements:

  • Education: Matric (Grade 12) or equivalent qualification (essential).
  • Experience: Minimum of 2–3 years in an Imports, Shipping, or Clerk role within retail, FMCG, or logistics sectors.
  • Technical Knowledge:
    • Strong understanding of import processes, customs regulations, and statutory requirements.
    • Familiarity with SARS, NRCS, ITAC, and related compliance authorities.
  • Systems & Tools: Proficiency in MS Office Suite (Excel, Word, Outlook) and internal business systems.
  • Skills & Competencies:
    • Excellent organisational and administrative skills.
    • Strong written and verbal communication.
    • Attention to detail with a focus on accuracy and compliance.
    • Ability to prioritise tasks, meet deadlines, and work effectively under pressure.
  • Personal Attributes:
    • Proactive, self-motivated, and reliable.

    • A collaborative team player with the ability to liaise effectively across departments.

Key Duties and Responsibilities

1. Filing & Document Control

  • Maintain a structured and accessible filing system for supplier and statutory documentation.
  • Ensure all import-related files are complete, up-to-date, and easily retrievable.
  • Safeguard sensitive records to ensure traceability and compliance.

2. Supplier Document Verification

  • Review supplier invoices, certificates, permits, and supporting documentation.
  • Verify completeness and accuracy before submission for customs or internal use.
  • Flag discrepancies and resolve issues with suppliers proactively.

3. Statutory Documentation Management

  • Prepare, compile, and submit accurate documentation for regulatory bodies such as SARS, NRCS, and ITAC.
  • Monitor compliance deadlines and ensure submissions are made on time.
  • Stay updated on changes to import regulations and compliance requirements.

4. Invoice Control & Processing

  • Request, receive, print, and file supplier invoices with proof of payment.
  • Liaise with the Finance team to ensure invoices are matched to shipments and processed promptly.
  • Track outstanding invoices and follow up with suppliers where required.

5. Shipment Registration

  • Register and capture all shipments into the internal system accurately.
  • Ensure timely updates of shipment statuses to keep Finance, Operations, and Logistics informed.
  • Assist with coordinating shipment timelines and addressing delays.

6. Finance & Operations Support

  • Provide accurate administrative support to Finance and Operations departments.
  • Assist in reconciling documentation for financial reporting purposes.
  • Support operational teams by providing updated shipment information and documentation.

7. Claims Management

  • Prepare and submit claims to suppliers or service providers in cases of discrepancies, damages, or shortages.
  • Track claim status and escalate unresolved issues to management.
  • Maintain accurate records of all claims for auditing and reporting purposes.
