About the Role
We are seeking a detail-oriented and proactive Administrator to provide comprehensive administrative support across multiple teams. This role is vital to ensuring seamless coordination of month-end billing, reporting, procurement, fleet management, and general operational functions within the division.
The Administrator will serve as a key link between divisional leadership and site operations, consolidating information, preparing accurate reports, and maintaining compliance with internal governance frameworks. Purpose of the Job
To deliver efficient and accurate administrative support to the division, ensuring operational excellence in billing, reporting, procurement, fleet management, and governance compliance.
Key Responsibilities
1. Month-End Billing and Reporting Support
- Assist DD sites with month-end billing processes and timely submission of reports.
- Support monthly audit preparations for each site to ensure compliance readiness.
- Consolidate absenteeism reports from all sites into a master divisional report.
- Compile IOD (Injury on Duty) and staff movement reports for accurate workforce tracking.
- Consolidate stationery and PPE schedules for processing on the Embrace system.
2. Administrative Support to DD Division
- Raise and manage general ad-hoc orders on Embrace.
- Manage and process PPE and stationery orders across 140 DD sites nationally.
- Oversee procurement and distribution of PPE to ensure operational efficiency.
- Compile and consolidate divisional reports across functions.
- Assist in preparing overtime, attendance, and leave reports.
- Maintain and update the divisional asset register bi-annually.
- Accurately type and distribute minutes and action items from meetings.
- Ensure compliance with POPIA by managing document shredding according to schedule.
- Coordinate internal and external meetings, including scheduling, logistics, and venue arrangements.
3. Fleet Administration Support
- Generate fleet-related reports, including transgressions, tyre survey findings, and PDP expiry tracking.
- Provide general fleet performance feedback, supporting initiatives such as the Red Rim Project and Ctrack rollout.
- Manage and track spare wheels and maintain an accurate inventory of spare keys.
Minimum Requirements
- Grade 12 (Matric) or equivalent qualification.
Skills and Competencies
Technical Skills
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint).
- Competence in compiling, analyzing, and presenting reports.
- Familiarity with procurement and order management systems (e.g., Embrace).
