We are currently seeking a detail-oriented and highly motivated Administrative Assistant to join our Cape Town office. This role presents a unique opportunity to contribute meaningfully to RAF’s mission while developing valuable administrative experience in a professional public sector environment.


Purpose of the Role

The Administrative Assistant will be responsible for delivering comprehensive administrative and clerical support to the department. The incumbent will manage day-to-day office functions, assist in compliance and recordkeeping, coordinate meetings, and ensure that documentation and correspondence are accurate and efficiently handled. This position requires a high level of professionalism, organizational skills, and the ability to work under pressure while maintaining confidentiality.


Key Performance Areas (Responsibilities)

1. Compliance Administration

  • Maintain up-to-date written documentation relating to the department’s business activities.
  • Ensure strict adherence to internal policies, procedures, and process standards.
  • Keep abreast of internal standards and business goals to ensure alignment with compliance and audit requirements.

2. Office Coordination

  • Manage correspondence, filing, telephonic queries, and provide general administrative support to the office.
  • Maintain confidentiality in all departmental matters and correspondence.
  • Conduct follow-ups on outstanding matters, ensuring all queries and requests are resolved within agreed timelines.
  • Engage with internal processing centres on outstanding documentation or queries.
  • Validate and verify information submitted to ensure accuracy before capturing or distribution.
  • Allocate reference numbers and capture related documents on internal systems.
  • Handle stationery requests and maintain adequate office supplies.

3. Meeting and Diary Support

  • Arrange internal and external meetings, ensuring confirmation of attendance and diary management for team members.
  • Assist in preparing agendas and taking minutes in line with governance standards.
  • Distribute meeting minutes, maintain registers for outstanding matters, and track resolutions.
  • Support in the planning and coordination of departmental appointments and stakeholder engagements.

4. Document and Records Management

  • Administer and maintain the department’s filing system (both physical and electronic) in accordance with the RAF filing plan.
  • Ensure timely retrieval of records, documents, and correspondence as required.
  • Record the receipt of all documentation, allocate file numbers, and ensure proper filing.
  • Safeguard confidentiality of sensitive documents and ensure they reach intended recipients promptly.

Qualifications and Experience

Minimum Requirements:

  • Matric / Grade 12 certificate.
  • At least 1 year of relevant administrative experience in a similar environment.

Preferred/Advantageous:

  • Exposure to public sector processes and administration.
  • Basic knowledge of Supply Chain Management (SCM) processes.
  • Basic financial acumen to support departmental expenditure tracking.

  • Computer literacy: Proficiency in MS Word, Excel, PowerPoint, and Outlook.
  • Strong organizational and planning skills.
  • Effective written and verbal communication abilities.
  • Ability to access and manage required information with accuracy.
