Job Purpose

The Branch Administrator is responsible for maintaining effective administrative systems and ensuring compliance with company procedures. This role requires an individual with excellent organizational skills, accuracy, and the ability to work under pressure. The incumbent will be instrumental in managing documentation, generating reports, supporting stock control, and maintaining strong client relationships.


Key Responsibilities

As a Branch Administrator, your responsibilities will include:

Documentation & Filing

  • Receive, process, and file all delivery notes accurately.
  • Assist with ad-hoc receiving duties and maintain the integrity of document flow.
  • Ensure all documents are correctly captured, filed, and sequenced on the system.

Client Relationship Management

  • Maintain professional and effective client relationships at all times.
  • Handle and resolve client queries promptly and efficiently.
  • Support the branch team in delivering exceptional customer service.

Reporting & Systems Management

  • Generate daily, weekly, and monthly system reports, including:
    • Outstanding claims,
    • Outstanding purchase orders,
    • Negative on-hand reports, and other relevant metrics.
  • Capture and process stock count sheets on the system.
  • Generate variance reports and escalate discrepancies to the line manager for resolution.

Stock Control & Auditing

  • Assist with quarterly stock-taking exercises by preparing, capturing, and reconciling stock information.
  • Compile stock-taking reports and support branch leadership in ensuring accurate stock records.
  • Support variance investigation and contribute to corrective action planning.

Branch Support

  • Support other administrative duties as required to ensure seamless branch operations.
  • Assist colleagues and management with clerical tasks, filing, and ad-hoc projects as needed.

Requirements

Minimum Education / Training

  • Grade 12 / Matric certificate (essential).

Minimum Work Experience

  • At least 3 years’ administration experience, preferably in a stock-related or retail/warehouse environment.

Technical Competencies

To succeed in this role, you will need:

  • Computer literacy: Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Strong verbal and written communication skills.
  • Good working knowledge of administrative processes and stock management systems.
  • Ability to work with numerical data and generate accurate reports.
