The Office of the Valuer-General (OVG) plays a critical role in the promotion of fair, transparent, and consistent land valuation practices in South Africa. To strengthen our service delivery mandate, we are seeking a dedicated Receptionist who will be the first point of contact for clients, stakeholders, and visitors to our offices. This position is a gateway to ensuring professional communication and customer care while contributing to the overall effectiveness of the Office of the Valuer-General.
Purpose of the Job
The Receptionist provides essential frontline and communication support to the Office of the Valuer-General by managing the reception area, handling telephone calls, directing visitors, and ensuring smooth communication flow. This role requires a well-presented, customer-oriented, and professional individual with excellent interpersonal skills.
Key Duties and Responsibilities
1. Reception Support Services
- Welcome visitors and clients in a professional, courteous, and friendly manner.
- Direct visitors to their relevant destinations within the office.
- Ensure the reception area is always clean, tidy, and welcoming.
2. Telephone and Communication Services
- Answer and screen incoming calls in a professional manner.
- Direct calls to appropriate staff members and take accurate messages when required.
- Maintain and update the office telephone directory.
- Provide relevant information to clients and visitors in line with Batho-Pele principles.
3. Fax and Office Equipment Administration
- Record incoming and outgoing faxes in the relevant registers.
- Monitor, safeguard, and ensure the proper functioning of reception equipment.
- Report faulty equipment promptly to the appropriate department for maintenance.
4. Documentation and Record-Keeping
- Record and manage all telephone messages accurately.
- Maintain clear registers for faxes, calls, and messages.
- Ensure that all records are stored in line with office protocols for accessibility and confidentiality.
5. Client Service Excellence
- Ensure visitors, clients, and stakeholders experience quality service when interacting with the office.
- Demonstrate professionalism and good etiquette when engaging with diverse individuals.
- Uphold the principles of Batho-Pele (People First) in all customer service interactions.
Minimum Requirements
Qualifications
- Grade 12 / Matric certificate (NQF Level 4).
Experience
- No previous experience required. (This is an excellent entry-level opportunity for candidates wishing to establish a career in administration or public service.)
Knowledge, Skills, and Competencies
Knowledge
- Telephone etiquette and customer service principles.
- Batho-Pele principles.
- Basic understanding of office administration procedures.
Skills
- Computer Literacy: Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
