We now seek a dedicated Administrator – Contracts & Insurance to join our team and provide essential administrative support within our Risk, Contracts, and Insurance functions.


Purpose of the Role

The Administrator will be responsible for performing general administrative duties, maintaining accurate filing and document control systems, supporting vendor and license applications, and assisting with both aviation and non-aviation insurance processes. This role is critical in ensuring compliance, accuracy, and efficiency in administrative workflows while safeguarding company records and assets.


Key Duties and Responsibilities

General Administration & Records Management

  • Maintain accurate and up-to-date filing systems, ensuring both physical and digital records are easily accessible.
  • Track and monitor document expiry dates; issue notifications of contract or document expiry to relevant stakeholders.
  • Ensure all administrative processes adhere to internal compliance standards, including POPIA (Protection of Personal Information Act).
  • Collate information and supporting documentation required for audits, vendor registrations, and credit applications.

Contracts & Vendor Applications

  • Assist in the preparation and submission of Air Services License amendment applications.
  • Coordinate with internal departments to ensure all supporting information is complete and submitted on time.
  • Maintain a log of all contract renewals, expiries, and amendments.
  • Generate reports and summaries for management on contract performance and renewal timelines.

Insurance Administration

  • Assist in processing non-aviation insurance claims such as:
    • Lost or damaged company property.
    • Motor vehicle accidents.
    • Group personal accident claims.
    • Travel insurance claims.
  • Support the compilation and submission of aviation-related insurance claims.
  • Administer the renewal process for the company’s non-aviation insurance policies, ensuring timely completion and compliance with provider requirements.
  • Track claim statuses, liaise with insurers, and update management on progress.

Compliance & Governance

  • Monitor and ensure ongoing POPIA compliance, working with stakeholders to maintain secure and confidential data handling processes.
  • Provide administrative support during compliance checks, audits, or external inspections.
  • Ensure sensitive company and employee information is handled professionally and confidentially.

Support Functions

  • Prepare correspondence, reports, and communication as required by management.
  • Provide logistical and clerical support, including travel bookings when needed.
  • Assist in special projects, departmental initiatives, and ad hoc administrative requests.

Minimum Requirements

Education:

  • Grade 12 / Matric or equivalent (Essential).

Experience:

  • At least 1 year of administration experience within a mid-sized organisation (Essential).
  • Exposure to contracts, compliance, or insurance administration (Advantageous).

Technical Competencies:

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) is essential.
  • Ability to work with filing systems, databases, and electronic document management tools.
  • Strong numerical and reporting ability.

Additional Requirements:

  • Willingness to work extended hours, including weekends, as and when required.
  • Availability to travel locally as operational needs dictate.
  • Valid South African passport.
