Clover SA, a leading name in the South African FMCG and dairy industry, is seeking an analytical and detail-oriented individual to join our Bloemfontein Distribution Centre as a Reconciliation Clerk. The successful candidate will be responsible for ensuring the accurate reconciliation and capturing of delivery documentation, journals, and invoices in the Clover Enterprise Resource Management System (ERMS).
This position requires a candidate with solid knowledge of outbound logistics processes, invoicing, and financial reconciliation. The ideal individual will demonstrate accountability, efficiency, and accuracy in all administrative and operational tasks to support Clover’s customer service excellence and distribution objectives.
Key Purpose of the Role
The Reconciliation Clerk ensures that all driver documentation and delivery data are accurately processed after each round trip. This includes balancing driver ledgers, reconciling invoices and journals, and ensuring the integrity of financial transactions within Clover’s distribution network.
Minimum Requirements
Education:
- Grade 12 / Senior Certificate (NQF Level 4) – Essential
- Tertiary qualification in Finance, Accounting, or Logistics Management – Advantageous
Experience:
- Minimum 3 years of experience in a logistics, finance, or accounting administrative role.
- Proven knowledge of outbound logistics, invoicing, journal preparation, and financial data reconciliation.
- Experience working in a fast-paced FMCG or distribution environment is highly beneficial.
Technical Skills:
- Advanced computer literacy – particularly MS Excel, ERP/ERMS systems, and financial databases.
- Business English proficiency (written and spoken).
- Strong numeracy, analytical, and reporting capabilities.
Additional Requirements:
- Must be willing to work shifts, weekends, and public holidays as operationally required.
- Must reside in or be willing to relocate to Bloemfontein.

Key Duties and Responsibilities
1. Reconciliation of Documentation
- Review and reconcile driver trip documentation immediately after completion of delivery rounds.
- Verify that all delivery notes, invoices, and proof of delivery documents align with ERP entries.
- Identify discrepancies between physical and system data, reporting them promptly to management.
2. Driver Ledger and Reporting
- Balance driver ledgers daily to ensure all payments, re-deliveries, and returns are accurately recorded.
- Capture all financial transactions and driver-related data in Clover ERMS.
- Generate daily and weekly cashless payment reports and communicate results to finance teams.
- Ensure all cashless splits, short payments, and re-deliveries are accurately documented and escalated where necessary.
3. Journal and Invoice Processing
- Prepare and capture tollgate and diesel slips for journal entry and approval.
- Maintain accurate filing systems for all prepared journals, invoices, and supporting documents.
- Reconcile cash invoices daily and ensure they are recorded under correct ledger codes.
- Maintain full traceability of all processed financial entries for auditing purposes.
4. Financial and Compliance Administration
- Ensure that all reconciliations adhere to Clover’s internal financial control policies and procedures.
- Support management during internal and external audits by providing requested documentation.
- Validate financial data to prevent misstatement or duplication in ERP systems.
- Uphold confidentiality and integrity in handling sensitive financial information.
5. Continuous Improvement and Reporting
- Provide management with accurate and timely daily reports on financial and operational performance.
- Identify trends or recurring discrepancies and recommend process improvements.
- Participate in team meetings and contribute to improving reconciliation turnaround times.

- 100% accuracy in daily reconciliation and data capturing.
- Zero tolerance for unreported discrepancies.
- Compliance with all financial policies and audit standards.
- Timely submission of reports and journals.
- Positive collaboration with logistics, warehouse, and finance teams.
Work Environment and Conditions
- Department: Distribution (Outbound Logistics & Financial Reconciliation)
- Reporting To: Distribution Supervisor / Finance Administrator
- Location: Clover Bloemfontein Distribution Centre
- Working Hours: Rotational shifts, weekends, and public holidays when necessary.
