Purpose of the Role

The Retirement Fund Administrator plays a critical role within the Retirement Funds business unit by managing the day-to-day administration and compliance of employer-sponsored retirement funds under the Discovery Life Umbrella Pension and Provident Funds.

The incumbent is responsible for ensuring the accurate, efficient, and compliant execution of all administrative processes, including contribution reconciliation, investment allocation, and member management, while adhering to regulatory frameworks such as the Pension Funds Act, Tax Act, and Default Regulation requirements.

This position requires a detail-oriented professional who thrives in a structured, regulatory environment while embracing innovation and continuous improvement.


Key Areas of Responsibility

1. Fund Administration and Compliance

  • Process all daily, weekly, and monthly transactional activities within agreed service level agreements (SLAs).
  • Perform data verification, quality assurance, and document validation to ensure all records are complete and accurate.
  • Ensure full compliance with the Pension Funds Act, Income Tax Act, and Fund Rules of the Discovery Umbrella Funds.
  • Prepare non-compliance reports (Section 13A) and assist with regulatory submissions.
  • Manage new member onboarding, contribution processing, and T-day adjustments.
  • Administer withdrawals, transfers, and fund switches in accordance with internal procedures.
  • Maintain accurate member and employer records across all administrative platforms.

2. Operational Excellence

  • Implement and maintain effective administrative processes aligned with industry best practices and internal control standards.
  • Review, refine, and improve workflows to ensure continuous efficiency gains.
  • Identify and mitigate operational risks, ensuring data completeness, accuracy, and regulatory compliance.
  • Support process automation initiatives within the business unit to drive productivity and service quality.

3. Client and Stakeholder Engagement

  • Act as a key liaison between Discovery Corporate & Employee Benefits, brokers, participating employers, and fund members.
  • Respond promptly and professionally to client queries, ensuring resolutions within SLA timelines.
  • Handle escalations with empathy, precision, and accountability.
  • Build and maintain strong relationships with brokers and internal stakeholders, fostering collaboration and client satisfaction.

4. Reporting and Data Management

  • Prepare and distribute management and client reports, reflecting accurate fund positions and member data.
  • Conduct data integrity checks to identify discrepancies and implement corrective measures.
  • Ensure accurate capture and reconciliation of monthly contributions, investments, and returns.
  • Support internal and external audit processes by providing timely, accurate documentation and reports.

5. Continuous Improvement and Team Support

  • Participate in internal training, process enhancement, and system upgrade projects.
  • Support change management initiatives to ensure successful adoption of new procedures or systems.
  • Share knowledge and assist in coaching and mentoring new or junior administrators.
  • Promote a culture of accountability, collaboration, and innovation within the team.

Education and Experience Requirements

Minimum Requirements

  • Matric / Grade 12Essential
  • 5 years’ experience in Employee Benefits, Retirement Fund, or Umbrella Fund administrationEssential
  • Advanced MS Excel and MS Office proficiency – Essential
  • Knowledge of Retirement Fund Operations, Investments, Accounting, and Regulatory Compliance

Preferred Qualifications

  • NQF Level 6 qualification or equivalent in Wealth Management, Financial Planning, or Business Administration
  • Industry-related certifications, such as Introduction to Retirement Funds (IRF) or Wealth Management Level 1Advantageous

Skills and Competencies

Technical Competencies

  • In-depth understanding of Retirement Fund administration, processes, and regulations.
  • Strong working knowledge of Umbrella Fund operations, contribution reconciliations, and investment allocations.
  • Familiarity with Default Regulations and Tax Act compliance.
  • Proficiency in data analysis, reporting, and quality control using MS Excel.
