Job Purpose

The Grants Administrator is responsible for providing frontline support in the administration and processing of social grant applications, client services, and beneficiary maintenance. This role requires an individual with strong administrative, interpersonal, and problem-solving skills who can deliver efficient customer service while adhering to SASSA’s operational and regulatory standards.

The incumbent will play a critical part in ensuring that grant applicants and beneficiaries receive accurate, timely, and compassionate assistance, contributing to SASSA’s mandate of promoting dignity and social protection for all citizens.


Key Responsibilities

1. Customer Care and Client Service

  • Provide efficient and friendly customer care services to all grant applicants and beneficiaries.
  • Handle client inquiries, complaints, and requests for information in a professional manner.
  • Offer assistance to vulnerable clients with empathy and respect while upholding Batho Pele principles.
  • Maintain a positive and service-oriented front office experience for all visitors.

2. Application Screening and Capturing

  • Screen and verify grant applications for completeness and compliance with eligibility criteria.
  • Capture approved grant applications accurately into the system.
  • Conduct beneficiary maintenance, including updates, renewals, and corrections of personal details.
  • Verify supporting documentation for authenticity and compliance.

3. Administration and File Management

  • Manage and maintain grant files systematically for easy retrieval and audit readiness.
  • Perform scanning, indexing, and batching of grant application files.
  • Ensure the safekeeping and confidentiality of client records in accordance with SASSA’s data protection policies.
  • Assist with generating reports and maintaining filing registers to track application status and statistics.

4. Medical Booking and Assessment Coordination

  • Administer and schedule medical bookings for applicants requiring disability grant assessments.
  • Liaise with medical officers, health practitioners, and other relevant stakeholders to ensure seamless coordination.
  • Communicate outcomes or further instructions to applicants promptly.

5. Field and Outreach Support

  • Provide off-site grant application services to remote or underserved areas as directed by management.
  • Assist in mobile service operations, ensuring accessibility to communities with limited mobility or resources.
  • Conduct community awareness and education sessions about SASSA’s grant processes and eligibility requirements.

6. Compliance and Quality Assurance

  • Ensure all administrative actions are executed in accordance with the Social Assistance Act, Public Finance Management Act (PFMA), and internal policies.
  • Maintain high levels of accuracy and accountability in all financial and administrative transactions.
  • Identify and report any irregularities, fraud risks, or system errors to supervisors immediately.

Minimum Requirements

  • Educational Qualification:
    A recognized undergraduate qualification (NQF Level 6) in one of the following fields (as recognized by SAQA):
    • Public Administration
    • Business Administration
    • Economics
    • Development Studies
    • Finance / Accounting / Commerce
    • Social Sciences
    • Social Security
  • Experience:
    No experience required; however, administrative or clerical experience will be considered an advantage.
  • Licensing (Advantageous):
    A valid driver’s licence will be an added advantage, especially for candidates involved in off-site service delivery.

Required Knowledge, Skills, and Attributes

  • Understanding of social grant processes, including eligibility and compliance requirements.
  • Familiarity with the Social Assistance Act, Public Finance Management Act (PFMA), and other related public service regulations.
  • Knowledge of administrative procedures and public service ethics.
  • Understanding of Batho Pele Principles and client service standards.
