PSG is seeking a professional, well-presented, and service-driven Receptionist to join its dynamic team at the Waterfall office. The Receptionist is the first point of contact for clients, visitors, and stakeholders. This role requires a polished communicator, a reliable professional, and an organised multitasker capable of maintaining high service standards while handling diverse administrative functions.
2. Role Purpose
The primary purpose of this position is to manage the reception area with professionalism and efficiency, ensuring that all clients and internal staff members receive excellent service onsite and telephonically. The Receptionist also provides critical administrative support, maintains office systems, and contributes to the smooth functioning of operations across the Waterfall branch.
3. Key Responsibilities
3.1 Front Desk and Switchboard Operations
- Operate the switchboard with professionalism, handling incoming, outgoing, and internal calls efficiently.
- Redirect calls appropriately and ensure messages are accurate and promptly delivered.
- Welcome and assist visitors, ensuring every interaction reflects PSG’s values and commitment to superior client service.
- Maintain a polished, organised, and welcoming reception area.
3.2 Administrative and Office Support
- Assist with filing, scanning, mailing, photocopying, and distributing documents in a prompt and confidential manner.
- Support ad hoc data capturing when required, ensuring accuracy and attention to detail.
- Prepare, process, and submit invoices for payment in line with company financial procedures.
- Maintain accurate, detailed records and documentation for administrative workflows.
3.3 Office Coordination and Logistics
- Manage and coordinate boardroom bookings, including setup and ensuring the availability of required equipment.
- Handle all incoming parcels and deliveries, record them correctly, and notify staff in a timely manner.
- Assist with ordering and managing office stock such as stationery, consumables, and other operational materials.
- Administer and allocate staff access cards, including maintaining updated access logs.
- Support with events coordination, transport arrangements, and logistics as assigned by management.
3.4 Facility and Operational Support
- Report and track faults related to floors, equipment, and office infrastructure.
- Collaborate with facility management teams to resolve issues promptly.
- Uphold office standards by ensuring tidiness, functionality, and compliance with operational protocols.
3.5 Support to Senior Management
- Provide general administrative support to management teams as required.
- Execute tasks promptly, proactively, and professionally, maintaining confidentiality at all times.
- Assist with operational improvements and contribute to a collaborative office culture.
4. Minimum Requirements
- A completed Secretarial or Office Administration qualification is required.
- 2–3 years of experience in a similar reception, office administration, or switchboard role.
- Strong background in office operations, front desk management, or customer-facing environments.
- Proficiency in Microsoft Office and general office technology.
- Fully bilingual candidates will be highly advantageous.
