1. Introduction
The South African Police Service (SAPS) Forensic Science Laboratory (FSL) plays a crucial role in providing scientific and analytical support to criminal investigations. As an Administration Clerk within the FSL, you will form part of a specialised administrative team responsible for ensuring the accurate, secure, and efficient processing of forensic case documentation, exhibits and related communication. This role is central to maintaining workflow integrity, upholding evidence standards, and ensuring that investigators receive accurate, timely support throughout the forensic process.
The position requires a disciplined, organised and ethical individual capable of maintaining confidentiality, adhering to established protocols, and operating effectively in a high-security and high-volume environment.
2. Minimum Requirements
Applicants must meet the following criteria:
- Possession of a Senior Certificate (Grade 12) or National Certificate (Vocational) listed on the National Learner Record Database at NQF Level 4.
- Competency in post-specific core functions, including administrative tasks, record-keeping, and client service.
- Fluency in at least two official South African languages, one of which must be English.
- South African citizenship, supported by documentary proof.
- No criminal record, pending criminal cases, or ongoing departmental misconduct cases.
- Computer literacy, with the ability to operate standard administrative software.
- Strong interpersonal, written, and verbal communication skills.
- Sound organisational abilities with attention to detail.
- Willingness to work shifts, extended hours, and perform duties in high-pressure operational environments.
- A valid driver’s licence (light motor vehicle) and relevant short courses will serve as added advantages.

4. Core Functions & Key Responsibilities
The Administration Clerk will perform a full range of administrative duties within the Forensic Science Laboratory, including but not limited to the following:
4.1 Case Reception and Registration
- Receive, verify and register new cases and exhibits on the FSL system.
- Ensure all documentation is complete, accurate and compliant with quality standards.
- Allocate cases to analysts following prescribed criteria and turnaround times.
4.2 Client Service & Communication
- Attend to investigator and client enquiries, both telephonically and in person.
- Provide updates on case statuses, report retrieval, and relevant administrative matters.
- Maintain a professional and courteous standard of service at all times.
4.3 Exhibit Management
- Receive, handle, label and route forensic exhibits between analysts and storage areas.
- Perform scanning, tracking, and updating of exhibit information.
- Assist with off-site case preparation and archiving to maintain evidence chain-of-custody.
4.4 Dispatch & Reporting Duties
- Perform dispatch operations for completed analysis reports.
- Ensure the secure release and handover of analysed exhibits to investigating officers.
- Maintain accurate dispatch logs and audit-ready documentation.
4.5 Compliance, Safety & Quality Management
- Ensure strict adherence to Quality Management, Health & Safety, and SAPS internal control standards.
- Assist with preparing the unit for inspections, audits and compliance checks.
- Report non-conformances, hazards, or deviations according to procedure.
5. Additional Employment and Selection Information
