Introduction
The Data Capturer & Administrative Assistant role is a critical position designed to support efficient information management, administrative coordination, and organisational compliance across the Limpopo province. This role is ideal for an individual who is detail-oriented, highly organised, and passionate about maintaining accuracy in fast-paced environments. Key Purpose of the Position
The primary purpose of this role is to ensure effective, efficient, and accurate data capturing across the province, while also providing essential administrative support to relevant departments. The role requires a strong balance of technical skills, organisational awareness, and the ability to manage workloads under pressure. The successful candidate will uphold professional standards, maintain strict confidentiality, and work collaboratively to support internal processes and operational demands.
Key Responsibilities
1. Data Capturing Duties
- Capture, update, and maintain data in the relevant databases with speed, precision, and strict adherence to data quality standards.
- Verify, validate, and cross-check data entries to eliminate discrepancies and ensure accuracy.
- Ensure that all data is captured within required timelines to support reporting obligations and decision-making processes.
- Support provincial teams by providing accurate datasets and assisting with data extraction when required.
- Implement data capturing protocols and maintain compliance with organisational systems, policies, and procedures.
2. Administrative Support
- Provide general administrative assistance such as filing, scanning, photocopying, preparing documents, and organising correspondence.
- Maintain effective record-keeping and ensure that documents and digital files are stored in an organised and retrievable manner.
- Assist with scheduling, coordinating tasks, and supporting daily operations to enhance departmental workflow.
- Communicate with internal stakeholders in a professional and courteous manner to support operational needs.
- Handle confidential documents responsibly, ensuring that privacy policies and internal guidelines are strictly followed.
3. Operational Coordination
- Support provincial teams by ensuring timely submission and consolidation of administrative documents.
- Assist in tracking progress on operational activities and reporting any challenges that affect timelines or workflow efficiency.
- Contribute to the general functioning of the provincial office by offering support where required, including assisting during peak operational periods.
Minimum Requirements
Education
- National Senior Certificate (Grade 12) or equivalent is mandatory.
Experience
- A minimum of 2 years’ proven experience in data capturing is required.
- Experience in a general administrative role, preferably within a professional, political, or organisational environment.
Technical Skills
- Proficient in MS Office Suite (Excel, Word, Outlook) with the ability to work competently on digital systems.
- Strong ability to navigate online platforms, data systems, and electronic filing tools.
- Excellent typing speed and high level of accuracy.
