Purpose of the Role
The purpose of this position is to provide comprehensive administrative support to the Head of Human Capital Management. The role is instrumental in ensuring the efficient functioning of the office and the consistent delivery of high-quality services. This includes handling routine office tasks, managing confidential documentation, supporting coordination of meetings, and facilitating effective communication between departments and external stakeholders.

Minimum Requirements
Education:
- National Diploma in Office Administration, Office Management, or a related field
- NQF Level 6 qualification
Experience:
- 1–2 years of relevant administrative experience
- Proven experience supporting senior-level executives
Key Responsibilities
1. Office and Administrative Support
- Handle incoming calls, emails, and correspondence on behalf of the Head.
- Maintain confidentiality when managing sensitive information or documentation.
- Draft, edit, and proofread correspondence, reports, and presentations.
- Manage diaries, prepare agendas, and compile meeting packs.
- Organise and book venues for meetings, training sessions, and workshops.
- Prepare printed materials for meetings and sessions.
- Receive and guide guests in a professional and courteous manner.
- Maintain filing and document tracking systems for easy retrieval and compliance.
- Ensure stock levels of office materials are monitored and replenished.
2. Information Management
- Support the collation, summarisation, and distribution of important information.
- Ensure that communication and documentation are directed to appropriate stakeholders in a timely manner.
- Facilitate information flow between the Head’s office, internal teams, and external partners.
3. Risk and Compliance
- Assist in ensuring compliance with organisational policies, fraud prevention, and governance requirements.
- Support both internal and external audits by providing accurate documentation.
- Monitor adherence to ISO quality standards and relevant Standard Operating Procedures (SOPs).
- Help review and maintain SOPs in line with operational efficiency and business needs.
4. Stakeholder Engagement
- Foster strong working relationships with internal and external stakeholders.
- Serve as the key contact point for enquiries, complaints, and feedback.
- Represent the Head’s office professionally in all stakeholder interactions.
- Attend meetings when required and share accurate information with all parties involved.
- Keep stakeholders informed of progress and challenges related to Human Capital initiatives.
