Purpose of the Role
The Inventory and Consumables Coordinator will be responsible for the accurate management and efficient flow of all consumables and chemicals within the facility. This role requires a detail-oriented professional with strong analytical and organisational skills, capable of maintaining stock accuracy, streamlining processes, and ensuring that all governance and compliance standards are adhered to. The incumbent will play a critical role in supporting operational continuity by monitoring stock levels, coordinating replenishment, overseeing the receipt and dispatch process, and managing returns.
The successful candidate will ensure inventory accuracy, timely deliveries, and effective stakeholder communication, while also providing leadership and guidance to the warehouse or logistics support team. This position is ideal for a proactive, results-driven individual who thrives in a fast-paced environment and is passionate about delivering operational excellence.
Key Responsibilities
Inventory Management and Stock Control
- Maintain effective and accurate inventory management of all consumables and chemicals, ensuring sufficient stock levels are available at all times to meet operational requirements.
- Monitor and track consumable and chemical stock levels, using inventory control systems (SAP or similar), and initiate replenishment orders when required to avoid stock-outs or overstocking.
- Ensure stock rotation practices (FIFO/FEFO) are followed to maintain quality and compliance standards.
- Coordinate and lead weekly and monthly stock counts across the department, ensuring adherence to established stock count procedures and timely reporting of variances.
- Analyse inventory reports to identify trends, discrepancies, or areas of concern, and implement corrective actions where necessary.
Procurement and Purchase Order Management
- Timeously process MRO (Maintenance, Repair, and Operations) purchase orders and manage the entire procurement lifecycle, including returns and adjustments.
- Liaise with suppliers to follow up on orders, manage delivery schedules, and resolve any supply or quality-related issues.
- Ensure purchase orders and associated documentation are accurate, complete, and compliant with company policies and governance requirements.
Warehouse and Consumables Flow
- Oversee the efficient flow and storage of chemicals and consumables within the facility to ensure safety, quality, and compliance with environmental and occupational health standards.
- Manage the receipt and dispatch of goods, ensuring that quantities, quality, and conditions match purchase orders and that discrepancies or damages are promptly reported to relevant stakeholders.
- Maintain clear and accurate documentation for all receiving and dispatching activities, ensuring transparency and traceability at all times.
Governance and Compliance
- Ensure strict adherence to governance standards and company operating procedures within the dry goods and consumables environment.
- Comply with all safety, environmental, and regulatory guidelines related to the handling, storage, and disposal of chemicals and consumables.
- Monitor compliance with internal audits and participate in external audit processes by preparing reports and documentation as required.
Team Leadership and Support
- Guide, motivate, and support team members to achieve department goals, fostering a culture of accountability, efficiency, and continuous improvement.
- Provide training or mentoring on stock handling, safety protocols, and system use (e.g., SAP, Excel).
- Collaborate with internal stakeholders, including operations, procurement, and finance teams, to ensure alignment and effective communication.
Continuous Improvement
- Identify opportunities to improve warehouse, procurement, and inventory processes to increase efficiency and reduce costs.
- Support the implementation of best practices and new technologies to optimise stock control and reporting.
- Assist in the analysis of key performance indicators (KPIs) and provide recommendations to management for operational enhancements.
Minimum Requirements and Competencies
Education and Qualifications
- Grade 12 (Matric) essential.
- A Diploma in Logistics, Supply Chain, Warehouse Management, or an equivalent qualification would be advantageous.
Experience
- Previous experience in warehouse, inventory, or logistics roles is essential, preferably in an environment dealing with chemicals and dry goods.
- Demonstrated experience in stock management, including counts, reconciliations, and variance reporting.
- Practical experience in purchase order processing and supplier coordination.
Technical Skills
- Proficiency in Microsoft Office Suite, particularly Excel, for data analysis and reporting.
- Working knowledge of SAP or similar ERP systems.
- Understanding of standard operating procedures (SOPs) within a warehouse or dry goods environment.
