Purpose of the Role
The Clerk will provide administrative support to the Processing department, ensuring that operations run smoothly, efficiently, and in compliance with company policies. This role requires a proactive, detail-oriented professional who can balance administrative tasks, document management, safety adherence, and support for both supervisors and co-workers.
The position contributes directly to improving productivity, maintaining compliance, and fostering a safe, organised working environment.
Key Responsibilities
1. Safety, Health, and Environment (SHE)
- Strictly adhere to Anglo American’s safety practices, policies, and legal requirements.
- Participate in safety initiatives, including SLAM (Stop, Look, Assess, Manage) and HPH interventions.
- Conduct safety checks and interventions before commencing any task.
- Maintain workplace housekeeping standards to reduce risks and support safe operations.
2. Administration and General Office Support
- Perform general clerical tasks such as filing, typing, copying, and managing correspondence.
- Maintain supervisor diaries, schedule meetings, and manage calendars effectively.
- Generate and manage SAP orders, follow up on progress, and ensure accurate entries.
- Support time and attendance administration for employees, ensuring compliance with company processes.
- Assist with procurement-related paperwork and order processing.
3. Documentation Control
- Process all documents according to Anglo American’s document control policies and procedures.
- Ensure timely filing, retrieval, and accurate maintenance of records for audits and reference.
- Maintain both hard copy and electronic filing systems in compliance with governance standards.
- Ensure accessibility of documents for team members and management.
4. Meeting and Reporting Support
- Prepare agendas, take minutes, and distribute action items for sectional meetings.
- Collate, prepare, and distribute monthly reports for the Processing department.
- Assist with compiling performance data for departmental reviews.
5. Assistance and Collaboration
- Provide direct administrative support to supervisors and colleagues as required.
- Step in during the absence of responsible personnel to ensure continuity of functional objectives.
- Foster effective communication between departments and external service providers.
Minimum Requirements
- Education: Grade 12 / Matric or equivalent.
- Driver’s Licence: Valid South African Code B/08.
- Experience:
- 1–2 years’ relevant clerical or administrative experience, preferably within a mining or processing environment.
- Knowledge of processing systems and operations will be advantageous.
- Technical Skills:
- Proficiency in MS Office Suite (Word, Excel, Outlook, PowerPoint).
- SAP experience essential.
- Familiarity with document control principles.
