Purpose of the Role
The Administration Assistant at Platmed plays a pivotal role in ensuring the efficient and accurate administration of the Occupational Health Centre. The role focuses on client registration, documentation management, communication, and support to ensure compliance with company standards, health regulations, and operational excellence.
This position requires a highly organized, detail-oriented individual with strong interpersonal skills and a commitment to safety, confidentiality, and customer service.
Key Responsibilities
1. Administrative Support & Daily Planning
- Coordinate and plan daily tasks to ensure that activities are completed within required timeframes and in line with unit-specific procedures.
- Provide administrative support to healthcare teams, ensuring smooth operations in a busy environment.
- Prepare, type, and distribute correspondence, reports, and general documentation.
2. Document Management & Client Records
- Maintain accurate and structured client records, ensuring all hardcopy and electronic files are correctly stored and easily retrievable.
- Verify client documentation, including booking slips, personal identification, and medical records, ensuring accuracy and compliance with company standards.
- Perform electronic file management by scanning, uploading, and attaching information to client profiles while maintaining strict confidentiality.
3. Client Registration & Support
- Register clients scheduled for medical surveillance, ensuring all necessary personal and medical information is captured accurately.
- Provide printed road maps and other required documentation to clients attending medical surveillance.
- Address client queries promptly and courteously, escalating more complex issues to appropriate channels where necessary.
4. Communication & Team Collaboration
- Lead and coordinate day-to-day communication within the Occupational Health Centre team.
- Serve as a point of contact for internal and external stakeholders.
- Ensure effective dissemination of information to promote workflow efficiency.
5. Compliance, Safety & Health
- Consistently apply health and safety principles in all interactions, ensuring zero harm and supporting the elimination of workplace incidents.
- Promote a culture of safety, respect, and inclusion within the Occupational Health Centre.
- Support compliance with medical recordkeeping, regulatory requirements, and ethical standards.
Minimum Qualifications
- Grade 12 / Senior Certificate (Compulsory).
- Post-matric Administration qualification (Diploma/National Diploma/Degree) – Advantageous.
Experience Requirements
- Minimum 1 year of experience in a similar administrative role.
- Previous experience in a medical or occupational health administration environment – Advantageous.
Technical Knowledge & Skills
- Computer Literacy: Proficient in MS Office Suite (Excel, Outlook, Word).
- Communication Skills: Strong written and verbal communication abilities.
- Time Management: Ability to manage multiple tasks, prioritize effectively, and meet strict deadlines.
- Organisational Skills: Skilled at maintaining accurate records and managing structured workflows.
- Technical Advantage: Knowledge of QMED systems.
- Professional Attributes: Confidentiality, attention to detail, problem-solving ability, and adaptability in a fast-paced environment.
