Purpose of the Job
The Administrative Assistant provides professional, efficient, and proactive support to executives and business leaders. The role requires excellent organizational skills, attention to detail, strong communication, and the ability to manage multiple tasks effectively in a remote setting.
Key Responsibilities
1. Calendar & Schedule Management
- Coordinate and manage executive calendars across time zones.
- Schedule meetings, calls, and appointments with accuracy and foresight.
- Ensure all engagements are well-organized, avoiding conflicts and overlaps.
2. Meeting & Document Preparation
- Assist executives in preparing for meetings, including compiling agendas, gathering supporting documents, and drafting minutes.
- Prepare high-quality presentation slides, briefing documents, and follow-up notes.
- Track action items and ensure timely execution post-meetings.
3. Communication & Correspondence
- Draft, edit, and send emails on behalf of executives, ensuring professional tone and accuracy.
- Handle incoming inquiries, filter information, and prioritize correspondence.
- Maintain confidentiality while communicating with internal and external stakeholders.
4. Administrative & Operational Support
- Manage document requests and organize records in a structured system.
- Support executives with ad-hoc administrative duties.
- Maintain filing systems (digital) for easy retrieval and compliance.
- Track deadlines and deliverables across multiple projects.
Minimum Qualifications
Education
- High School Diploma or equivalent required.
- Associate’s or Bachelor’s degree in Business Administration, Office Management, Communications, or related field is advantageous.
Experience
- Proven experience as an Administrative Assistant, Executive Assistant, or Virtual Assistant.
- Demonstrated ability to handle multiple priorities and complex scheduling.
- Familiarity with administrative coordination and logistics in a remote or hybrid environment.
Technical & Professional Skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and/or Google Workspace.
- Experience with calendar management tools (Google Calendar, Outlook, Calendly, etc.).
- Excellent written and verbal communication skills in English (C1/C2 proficiency required).
- Strong organizational and multi-tasking skills with proven follow-up abilities.
- Ability to prepare professional documents, reports, and presentations.
- Stable internet connection, laptop/PC, and noise-canceling headset required.
