Purpose of the Role

We are currently searching for a proactive, detail-oriented, and customer-focused Administration Clerk to join our Security Department within the Grocery Division. This role is based in Randfontein and is key to supporting the front-line operations at our facility. The successful candidate will ensure the smooth and professional administration of access control, order documentation, and reception services — all while maintaining high standards of service delivery and data accuracy.


Minimum Requirements

To qualify for this position, you must meet the following criteria:

  • Education:
    • Matric / National Senior Certificate (Grade 12) – Essential
  • Experience:
    • At least 2 years’ experience in a customer-facing or visitor-facing role
    • Minimum 2 years’ experience in order administration or a similar administrative role
  • Technical Skills:
    • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
    • Familiarity with administrative systems; experience with Agrigrain is advantageous
    • Strong telephone and communication etiquette
    • Multilingual communication ability (at least two languages preferred)
  • Competencies:
    • Excellent organizational and multitasking skills
    • Ability to remain calm and professional under pressure
    • High attention to detail and accuracy
    • Friendly, courteous, and approachable demeanor

Key Duties & Responsibilities

Your responsibilities in this role will include, but are not limited to:

📌 Reception & Visitor Management

  • Greet and assist all visitors, drivers, and clients in a professional and welcoming manner
  • Handle all incoming telephone calls, directing them appropriately and courteously
  • Manage front desk operations to ensure a seamless experience for all site visitors

📌 Access Control

  • Process and issue daily access permissions for visitors and drivers accurately
  • Maintain control of access points and manage visitor entries in compliance with internal procedures
  • Monitor and administer parcel deliveries and donations with appropriate documentation
  • Ensure that all access documentation is completed and filed correctly

📌 Order & Record Administration

  • Process orders and access-related requests with attention to detail
  • Administer and update records using the Agrigrain system
  • Monitor order status and promptly report any variances or discrepancies
  • Archive access and order documents according to company standards

📌 Operational & Client Support

  • Provide timely and effective administrative support to the Risk Control Officer and other security personnel
  • Assess client concerns or issues at the reception area and escalate appropriately to relevant personnel
  • Maintain a calm, confident, and efficient presence in handling urgent or unexpected situations
  • Contribute to a safe and secure facility by supporting compliance and access protocols
