Purpose of the Role
The Legal Secretary will provide high-level secretarial and administrative support to Judges, State Attorneys, or designated legal professionals to ensure the smooth and efficient functioning of court or legal office operations. This includes managing correspondence, preparing legal documentation, maintaining case files, and coordinating with various stakeholders while upholding the highest standards of professionalism, confidentiality, and accuracy.
Key Responsibilities
Secretarial and Administrative Support
- Attend to and screen all incoming and outgoing telephone calls, emails, and written correspondence.
- Maintain a comprehensive diary for the assigned Judge or legal professional, including scheduling appointments, meetings, and court sessions.
- Type and proofread judgments, rulings, orders, legal correspondence, and related documentation to ensure accuracy and compliance with court or legal office standards.
- File and organize all correspondence, pleadings, and court-related documents in the correct sections for easy retrieval.
- Receive visitors, address queries courteously, and direct them to the appropriate person or department.
Court and Case File Management
- Ensure all court files are properly prepared and complete before hearings or proceedings.
- Verify that case files contain all required documents and evidence, checking accuracy and completeness.
- Request and receive files from the Court Administration Filing System (CAFS) or other filing units.
- Update claim or case management systems with all relevant information and changes promptly.
- Maintain a register of reviews, reserved judgments, and other case tracking templates.
Document Handling and Distribution
- Send signed judgments and orders to the typist, court library, or relevant parties.
- Receive, file, and verify Heads of Arguments and other submissions from stakeholders.
- Prepare the Judge’s bench book and ensure all necessary materials are in court before proceedings commence.
- Notify relevant stakeholders of judgment hand-downs and distribute court rolls in advance.
- Make and distribute certified copies of files and documentation when required.
Office Coordination
- Order, collect, and manage stationery and other office supplies for the Judge or legal team.
- Collect and deliver case files between departments in a timely and secure manner.
- Ensure that all workflows, documentation processes, and administrative tasks are aligned with deadlines, service standards, and applicable legislation.
- Support court scheduling and coordination activities.
Quality, Compliance, and Deadlines
- Meet strict deadlines and maintain efficiency under pressure while ensuring accuracy in all work.
- Uphold confidentiality standards, especially when handling sensitive or privileged legal information.
- Ensure compliance with applicable acts, policies, and legal procedures.
- Maintain an organized desk and prioritise tasks effectively to meet service delivery requirements.
Skills and Competencies
- Language Skills: Excellent proficiency in English, both written and verbal.
- Administrative Skills: Strong organisational and record-keeping abilities with attention to detail.
- Interpersonal Skills: Ability to interact professionally with stakeholders at all levels.
- Typing Skills: High-speed and accurate typing, including Dictaphone typing.
- Computer Skills: Proficient in MS Word; ability to conduct online legal research.
- Customer Service: Professional and courteous manner with a service-oriented approach.
- Time Management: Ability to manage multiple priorities and meet strict deadlines.
- Confidentiality: Discretion when handling sensitive information.
Minimum Requirements
- Educational Qualification:
- Matric (NQF Level 4) is essential.
- An LLB degree or completion of at least 20 modules towards an LLB/BCom Law degree (academic results must be attached).
- Experience:
- Minimum of 1–3 years of secretarial or office assistant experience in a legal environment.
- Other Requirements:
- Valid driver’s licence.
- Successful candidates will be required to pass a typing test.
